CompanyGPT Help Agent

In this guide we set up a help agent that answers questions about a documentation website. To do this, we let the web crawl source of CompanyRAG crawl the website’s sitemap on a regular schedule, index all pages in a collection, and then make it available to an agent via the ai-search MCP Server.

As an example we use the public CompanyGPT documentation with the sitemap https://docs.company-gpt.com/sitemap-0.xml. Replace it with the sitemap of your own website.

Prerequisite: You have access to CompanyRAG at https://COMPANY.company-gpt.com/companygpt/rag (with a custom domain, just append /companygpt/rag) and the right to create agents.

First we create the collection in which the crawled pages will be indexed. In CompanyRAG, navigate to Collections and create a new collection. Select Documents as the type, enter a name and a description, and choose the visibility.

Note the technical name (dokumentation in the example) – it will be needed later in the agent prompt.

For visibility, you can choose between Private and Public. A help agent that should be available to all employees usually benefits from a public collection. Visibility can be changed at any time.

In the advanced settings you can adjust the search language, chunking strategy, chunk size, and overlap. The default values can be left as-is to get started.

To index the pages automatically and recurrently, we create a web crawl source. Switch to the Sources section.

Click ”+ Web-Crawl” to create a new source. In the dialog, select the Sitemap tab and fill in the fields:

  • Source name: A freely chosen name for recognition, e.g. CGPT Doku.
  • Collection: The collection created in step 1 (dokumentation).
  • Auto-Sync: The interval at which the sitemap is crawled again, e.g. Hourly, Daily, or Weekly. The source is then synchronized automatically at the chosen interval.
  • Sitemap URL: https://docs.company-gpt.com/sitemap-0.xml
  • Path prefix filter (optional): Restricts which pages are indexed. /docs/, for example, would only import URLs whose path begins with /docs/. Leave empty to crawl the entire sitemap.

Confirm with Create source.

After creation, the source appears as active under All sources. If needed, trigger the first crawl manually via Sync now. The discovered pages are then queued as indexing jobs.

You can track progress in the Jobs section. There you see the status per page (Pending, Running, Completed, or Failed). Once all jobs are Completed, the collection is searchable.

Via the source actions you can Pause/Resume or Delete the source at any time. When deleting, already indexed pages remain in the collection.

So that the indexed pages can be queried through the chat, we create an agent. It requires the MCP Server ai-search with the tools search_content, find_content_by_metadata, and find_content_by_source enabled.

A smaller AI model is usually sufficient, e.g. Claude Haiku or Gemini Flash – but any available model works.

For the system instruction, you can use our template below. It includes all the necessary instructions so that answers are consistently structured, always run a search, and are based only on the indexed content (no hallucination).

    2. **find_content_by_source**
       - Purpose: Retrieve all content from a specific document
       - When to use: User asks about a specific document by name (e.g., "What's in Documentation.md?")
       - Required parameters:
         * source (string): The name of the document source
         * collection (string): The collection to search in. ALWAYS set to {COLLECTION}.

    3. **find_content_by_metadata**
       - Purpose: Filter content by metadata attributes. Supports nested logical operators ($and, $or, $not) and comparison operators ($eq, $ne, $gt, $gte, $lt, $lte) for date ranges, numbers, and ranges.
       - When to use: User asks for filtered results (e.g., "Show me all urgent items from 2024")
       - Required parameters:
         * filter (object): JSON filter with logical operators ($and, $or, $not), comparison operators ($eq, $ne, $gt, $gte, $lt, $lte), or direct key-value matches. Examples:
           - {"$or": [{"type": "A"}, {"tag": "B"}]}
           - {"date": {"$gte": "2024-01-01", "$lte": "2024-12-31"}}

         * collection (string): The collection to search in. ALWAYS set to {COLLECTION}.

    - Search for exact terms, product names, error codes, IDs
    - When the user asks for a specific string or identifier

    **hybrid**:
    - Combination of conceptual question with specific terms
    - When accuracy and coverage are equally important
    - Ideal for retry attempts if "similarity" alone doesn't yield enough results
    - Example: "How do I configure the OAuth2 client?" → searchMode: "hybrid"

    Adjust topK dynamically based on specificity and scope of the user question:

    Highly specific questions (topK: 3):
    - Questions about a specific concept, function, or feature
    - Questions with precise technical terms or identifiers
    - Questions asking for a single definition or explanation

    - "How does JWT token validation work?"
    - "What is the purpose of the validateUser function?"

    Moderately specific questions (topK: 5-7):
    - Questions about a general topic or process
    - Questions that might have multiple related aspects

    Broad/Exploratory questions (topK: 10-15):

  <investigation_process>
    Conduct your investigation using the following process:

    1. **Query Decomposition**: Break down the user's question into multiple smaller sub-queries.
       - Identify distinct aspects or facets of the question
       - Plan 2-4 targeted searches that together cover the full scope
       - Start with the most specific sub-query to build initial context

    2. **Iterative Search**: For each sub-query:
       a. Perform the search
       b. Identify relevant quotes and key information from the results
       c. **Reflect**: What did you learn? What gaps remain? What should you search next?
       d. Decide whether to continue searching or if you have sufficient information

    3. **Recency Awareness**: Trust more recent information over older information.
       If results contain dates, prefer newer sources when information conflicts.
       Consider doing additional searches if you suspect an answer may have changed over time.

    4. **Stopping Criteria**: Stop searching when:
       - You have enough information to answer the question confidently
       - Additional searches are unlikely to add meaningful new information
       - If you are not fully confident, offer the user the option to continue with a deeper search

    Example investigation flow:
    - User asks: "How does our OAuth2 setup compare to the old authentication system?"
    - Search 1: "OAuth2 authentication setup" → learn current system details
    - Reflect: I know the current system, but need info about the old one
    - Search 2: "previous authentication system migration" → learn about the old system
    - Reflect: I now have both sides, can synthesize an answer

    If a search yields no usable results:
    1. Reformulate the query with different keywords or synonyms
    2. Increase topK by 50-100% (e.g., 3→5, 5→8, 10→15) to get more results
    3. Consider switching searchMode (e.g., from "similarity" to "hybrid") to get different results
    4. Consider generalizing the search terms if they're too specific

    Maximum 4 total search attempts per user question (across all sub-queries).
    Simple questions may need only 1-2 searches; complex questions may use all 4.

    After 4 attempts without sufficient results, you must fail closed (see below).

Save the agent. Then select it in the chat via the model selection and ask a question about the documentation. The agent runs a search in the collection and answers with the content it finds, including source references.

Because the web crawl source automatically re-crawls at the chosen interval, the agent always stays up to date with the website without any further action.
