Groups

Groups bundle people. Above all they decide with whom something is shared: who sees agents, prompts, skills and MCP servers depends on groups. Groups can also carry rights in the extensions and settings of their own.

What someone may do in CompanyGPT (features) and which models they see depends on their role, not on groups.

You find the groups under Access → Groups.

EntraGroups from Microsoft Entra IDCome from Entra, at sign-in or through the group sync; read-only in companyADMIN
OIDCGroups from the sign-in’s group claim (OIDC)Come at sign-in; read-only in companyADMIN

CompanyGPT only knows an Entra group once a member has signed in or you have registered it in companyADMIN.

By default the list shows only groups that are used somewhere. Show all groups adds the others. A search always finds every group.

With Search name or Entra ID you also find a group by its object ID.

Administrators with the right Manage groups see the Create group section on the group list.

  1. Enter a Name and optionally a Description. The name is always required, for Entra groups too.
  2. Choose the Source: Local or Entra. For Entra, also enter the group’s Entra object ID. Upper or lower case does not matter.
  3. Click Create.

With the Entra group sync set up, companyADMIN checks the object ID in Entra ID, replaces the name you entered with the name from Entra and adds the members right away. For large groups the members are loaded in the background. Without the group sync the group is only registered; its members then arrive at sign-in.

An Entra group that already exists cannot be created a second time. companyADMIN then offers Open the existing group.

Without a sync, CompanyGPT knows the memberships of an Entra group only from its members’ sign-ins. The group sync reads the members of all Entra groups CompanyGPT knows from Microsoft Graph and enters them. It never creates new groups.

innFactory sets up the group sync for your environment. In addition it needs admin consent in Microsoft Entra ID for the permission GroupMember.Read.All.

With the right Manage groups you find the action Sync Entra groups at the top of the group list. It opens the sync area, which shows:

  • Last run with its result (successful, partly or failed)
  • Daily: whether the sync runs automatically every day, and when the next run is
  • Owners count as members: whether owners of an Entra group count as members

To sync by hand:

  1. At the top of the group list, click Sync Entra groups.
  2. Click Preview. The preview says how many groups were read and which people join (joins) or drop out (drops out).
  3. Click Sync now.

companyADMIN and the extensions see the result at once, CompanyGPT within five minutes. Groups that Microsoft Graph does not allow to be read, or for which Graph returns no members, stay unchanged and are reported as not applied.

If companyADMIN reports that Microsoft Graph refuses the app, the admin consent for GroupMember.Read.All is usually missing. If the sync is not set up, the action cannot be clicked and companyADMIN gives the reason The Entra group sync is not set up. In that case contact innFactory.

The detail page has the tabs Overview, Content, Extensions, Configuration and Members, plus the danger zone Delete group.

Name, description, Entra object ID, Source, Members, Last synced and Used in. You change name and description only for local groups, with the right Manage groups; apply the change with Save. For Entra and OIDC groups nothing can be changed on the overview.

If the same Entra group exists twice, Created twice appears. Merging is manual: move rights and shares to one group, then delete the other.

What is shared with the group: agents, prompts, skills and MCP servers, each with the right View or Edit. You change this on the content itself, see Content and visibility.

The rights all members of the group receive in the extensions, for example Use knowledge or Use courses. A tick grants the right. All rights are described in Extensions.

In some environments granting to groups is locked, for example as long as CompanyGPT does not know any members of the Entra groups yet. The tab then shows Group rights locked with the reason.

Settings that apply to the group’s members: memories, retention, agent builder and file uploads. Without a value of its own, the role or the base configuration applies. A value on the role always wins. Avoid different values in several groups of the same person; set such values on the role instead.

Models are released per role, not per group. Go to roles takes you there.

  • Local groups: in the Add person section you search for people by name or email and add them. People you remove lose everything released to this group.
  • Entra and OIDC groups: the members come from Entra ID or from the sign-in and can only be viewed here.

In the Link with Entra group section you can couple a local group to one or more Entra groups. Pick the Entra groups and store the link with Save. Only with a saved link does Reconcile now copy their members: new ones are added, and anyone no longer in any of the Entra groups is removed, including people added by hand. Only people who have signed in at least once are included.

Delete group removes the group with every right, share and setting attached to it. This cannot be undone. An Entra group stays in Entra ID; when a member signs in, CompanyGPT creates it again without rights.
