Content and visibility

Under Content you see which agents, prompts, skills and MCP servers exist in CompanyGPT, where they come from and who sees them. The sub-pages are Agents, Prompts, Skills, MCP tools, Categories and Library Sync. This page describes the first four; Categories and Library Sync have pages of their own.

What you see

What appears in the lists depends on whether you are a superadmin:

• Superadmins see every agent, prompt and skill, including other people’s private content.
• Admins without the superadmin features see public, shared-with-them and library-managed items. A notice above the list explains this restricted view.

The account menu shows whether you are a superadmin.

Promoted agents carry the badge Promoted.

The Visibility column shows Owner only, Public or Groups (n). The Origin column shows:

Filters:

The lists load more entries as you scroll. At most 1,000 entries are shown; search and filters then work on those only.

Detail pages

Clicking a row opens the detail page. You change an item’s configuration in CompanyGPT; in companyADMIN you review it and control its visibility.

Agent

• Overview: owner, model, category, usage over the last 30 days and the chart Requests per day (30d)
• Configuration: Instructions, Tools with the Loading column, MCP servers, Skills, Subagents & handoff edges and Code & memory

• Overview: Text (production version), Settings such as Command and category, and the Versions. The sync replaces only the production version; older versions are kept.

Origin

For synced content the Origin tab shows Repository (with a link to Library Sync), Path, Commit, Last written and State. If it says the item was changed in CompanyGPT since the last sync, the next sync overwrites that change. Only for a repository with We own this repo (allow write-back/up-sync) do changed agents and skills stay until they are written back, as long as their file is in the repository.

For content created in CompanyGPT it says Created in companyGPT, not from the library.

Setting visibility

You set the visibility on the detail page on the Visibility tab. It names the owner (Owned by …) and offers three levels:

• Owner only – no share with everyone and no group shares. Shares with individual people or roles stay.
• Public — all users of this environment – everyone in your environment sees the item, with read access.
• Specific groups only – the selected groups and the owner see the item. With Search groups… you find groups by name or Entra object ID. You cannot save without selecting a group.

Confirm with Save.

Saving replaces existing shares

Saving always stores the chosen level as a whole. It replaces the previous share with everyone and the previous group shares.

• Switching to Public or Owner only removes every group share, including editor shares that people made in CompanyGPT. Public gives everyone read access only.
• For synced content the owner is the system account. Owner only there means: no user sees the item.

An Entra group can only be selected once CompanyGPT knows it, that is once a member has signed in or the group was created or synced. Shares made in companyADMIN give read access (Viewer). The levels Editor and Owner come from shares that people made in CompanyGPT themselves.

Who may change visibility

The owner of an item can still change its sharing in CompanyGPT, as far as their role allows sharing. Whether a role may share or share publicly at all is decided by the feature rights of the role.

For content created in CompanyGPT, Also individually shared with: lists shares with individual people or roles. Superadmins take them back with Revoke.

Synced content and the repo default

Synced content gets its visibility from the repository (Managed by the repo default (Library Sync)). If you change the visibility here, Individually managed (overrides the repo default) applies: Library Sync then leaves this item’s visibility alone. Reset to repo default hands it back to the repository; this applies from the next sync.

Visibility for several items

In the Agents, Prompts and Skills lists you set the visibility for several items at once. The bar for this only appears with the matching manage right (Manage agents, Manage prompts or Manage skills).

1. Select the rows with the checkboxes.
2. Choose the visibility in the bar above the table.
3. Click Apply to selection. Public asks first.

Only synced items are changed. All others are skipped; you set their visibility on their detail pages.

Every changed item is then Individually managed (overrides the repo default). Later changes to the repository’s default visibility no longer reach these items. You hand them back to the repo default only one at a time, on the detail page with Reset to repo default.

Share an agent with yourself

Superadmins only

Superadmins see other people’s private agents in the list, but cannot simply use them in CompanyGPT. Share with me adds you as an Owner of the agent.

• On an agent’s detail page, Share with me is at the top right.
• In the Agents list, select several rows and click Share N agents with me in the bar above the table.

The agent then appears in your agent list in CompanyGPT. As an owner you can share it further there with the share dialog. An existing share with everyone stays as it is, and the previous owners keep their rights.

The button is hidden when you can already share the agent through a share of your own, for example because you own it. Every share is recorded in the audit log.

MCP tools

MCP tools lists every MCP server of your environment. companyADMIN never shows credentials such as tokens or passwords.

The Owner and Who sees it columns show who owns a server and whom it applies to. For servers from the deployment, configuration or a plugin it says as configured (not per group). Use Search servers and the Origin filter to narrow the list.

An expanded row shows the Connection, the address or Command, whether Sign-in via OAuth is used, and which User-provided values the server expects.

• Only servers Created by a user have sharing of their own. Only superadmins may change it; the owner can change it in CompanyGPT. Only superadmins see the details of private servers.
• The MCP servers of the extensions (such as companyFILES or companyRAG) are, as a rule, connected for everyone; their tools may therefore also be shown to people without the right to use them, see Extensions.
• Which domains MCP servers may use is set under MCP domains.
