Administration

This page is aimed at administrators. It describes the companyM365 admin area and the consents required in Microsoft 365. The admin area’s interface is in German; labels are given in German with an English translation in parentheses. For the Microsoft portals, the English labels are given with the German ones in parentheses.

The admin area is available at the following address:

https://COMPANY.company-gpt.com/companygpt/m365/admin/

The address https://COMPANY.company-gpt.com/companygpt/m365/ also redirects there.

Access requires the Manage Microsoft 365 permission. It is granted in companyADMIN (see extension permissions); administrators have it automatically. Anyone without the permission sees the Kein Zugriff (No access) page with a note on where the permission is granted. Anyone who is not signed in is taken to the sign-in.

The admin area uses the shared interface of the CompanyGPT add-ons: a sidebar with Neuer Chat (New chat), Alle Apps (All apps) and the areas, and the account menu with Design (Theme) and Abmelden (Sign out).

The sidebar only shows the areas that are set up in your environment. If, for example, no Teams bot is planned, the Teams-Bot area is missing.

The app package bundles the add-ins for Word, Excel, PowerPoint and Outlook as well as the Teams tab into one installation. Deployment is done centrally via the Microsoft 365 admin center; end users don’t need to install anything.

  1. In the Installation area, download the file teams-app.zip with App-Paket herunterladen (Download app package).
  2. Open admin.microsoft.com and go to Settings → Integrated apps (Einstellungen → Integrierte Apps).
  3. Choose Upload custom apps (Benutzerdefinierte Apps hochladen), select the app type Teams app (Teams-App) and select the downloaded .zip file. (The app type is “Teams app” because the package uses the unified Microsoft 365 manifest. Under “Office Add-in”, the admin center only accepts individual XML manifests.)
  4. Assign the users – the entire organization or a test group – and deploy the app.
  5. Within up to 24 hours (usually much faster), the add-in appears in the ribbon of Word, Excel, PowerPoint and Outlook, and the tab in Teams. Sign-in runs automatically via single sign-on with the CompanyGPT session.

Under Grenzen & Hinweise (Limits & notes), the area summarizes where the add-in runs – Word, Excel, PowerPoint and Outlook on Windows, on the Mac and in the browser (Office on the web) – and how the edit modes work: changes appear as a suggestion card by default, immediately in Direkt (Direct) mode, and in Word as tracked changes with Nachverfolgen (Track).

Use this package and do not sideload individual XML manifests: individually loaded XML add-ins are often greyed out and not clickable in the new Outlook (Windows and Mac).

Microsoft does not support the app package in Outlook on the Mac; Word, Excel and PowerPoint on the Mac are covered. Without the following step, Mac users have no add-in in Outlook.

  1. In the admin center, choose Settings → Integrated apps → Upload custom apps again.
  2. This time, select the app type Office Add-in (Office-Add-In) and choose to provide a link to the manifest file. Paste the address that the Installation area shows under Outlook-Manifest (URL).
  3. Assign the app to the entire organization and deploy it.

The app then appears twice under the same name in the admin center – this is intentional. On Windows and in the browser, Office hides the second variant automatically; for up to 24 hours, two buttons may appear side by side there.

The Teams bot is a separate app and is deployed in the Teams-Bot area.

The Teams-Bot area guides you through the setup step by step. Each step names the Microsoft Entra role that may carry it out; a Global Administrator is never needed. Terms from the Microsoft portals are given in German and English, and values can be copied.

  1. Schritt 1 – App-Registrierung für den Bot anlegen (Step 1 – create the app registration for the bot): in Microsoft Entra, e.g. as Application Administrator, Cloud Application Administrator or Application Developer. Afterwards, you enter the app ID of the bot app; the values for the following steps are derived from it.
  2. Schritt 2 – API verfügbar machen (Step 2 – expose an API).
  3. Schritt 3 – Berechtigung auf die Tenant-App + Administratorzustimmung (Step 3 – permission on the tenant app + admin consent): admin consent is mandatory (Cloud Application Administrator or Application Administrator). A Prüfliste vor dem Speichern (checklist before saving) summarizes the Entra steps.
  4. Schritt 4 – Client-Secret eintragen (Step 4 – enter the client secret): the bot app’s credentials are stored encrypted.
  5. Schritt 4b – Azure-Bot (Step 4b – Azure bot): depending on the environment, companyM365 creates the Azure Bot resource automatically, or you create it in the Azure portal using the click-by-click guide and then confirm Azure-Bot im Portal angelegt und Verbindung getestet (Azure bot created in the portal and connection tested).
  6. Schritt 5 – Teams-Paket hochladen (Step 5 – upload the Teams package): download the bot package and deploy it in the Microsoft 365 admin center (Settings → Integrated apps → Upload custom apps, app type Teams app) and assign users or groups. As a Teams administrator, you can also do this in the Teams admin center under Teams apps → Manage apps → Upload.

Further notes:

  • Data residency: The area shows which token service your environment uses. When creating the Azure bot, choose the matching data residency (“Europe” or “Global”).
  • Bot name: The area shows the name under which people mention the bot in Teams. innFactory sets up a custom name for your environment.
  • People from other tenants: If your organization includes people from other Microsoft tenants (multi-tenant organization or cross-tenant synchronization), contact innFactory. Without additional configuration, the bot rejects these people like guests.

The Agents area lists the agents that are shared in the tenant in CompanyGPT (publicly, with a group or from the companyADMIN library). For each agent, you specify:

ColumnMeaning
In Teamswhether the agent can be reached in the Teams bot
Aliasthe shortcut for /alias in the bot: 1–32 characters from a–z, 0–9, ”_” and ”-”. On the first release, it is derived from the name. The command words agent, agents, neu, hilfe, öffentlich, oeffentlich, public and standard are not allowed.
Immer privat (Always private)The agent only answers the person asking; Im Thread teilen (Share in thread) and /öffentlich do not make its answers public either. Preset if the agent accesses Microsoft 365, companyFILES or companyTRANSCRIBE.
Standard (Default)Als Tenant-Standard (Set as tenant default) makes the agent the bot’s default for everyone who has not set their own default in a chat.

A released agent that is no longer shared can only be revoked. If Eigene Agents in Teams erlauben (Allow personal agents in Teams) is switched on, a person’s own agents and the agents shared with them need no release; people use them with /agent name, outside 1:1 chats only privately.

  • Markenname (Brand name): appears in the description of the Teams bot app and in the admin area. After a change, Paket neu hochladen (Upload package again) points out that the bot package (Teams-Bot area, step 5) has to be downloaded and uploaded again. The name in the add-in, the Teams tab and the bot’s answers is set by innFactory during deployment.
  • Standard-Agent (Agent-ID) (Default agent, agent ID): the agent the Teams bot uses without an alias. Empty means: no default, the bot answers with the default model.
  • Eigene Agents in Teams erlauben (Allow personal agents in Teams, on by default): everyone can use in the Teams bot any saved agent they are allowed to use in CompanyGPT – their own and those shared with them. Outside 1:1 chats, only the person asking sees their answers. If the switch is off, only the agents released under Agents can be reached.

Under Offboarding: Bot-Daten einer Person löschen (Offboarding: delete a person’s bot data), you remove all of a person’s mapping data in the Teams bot (Art. 17 GDPR): conversation mappings, default agents per chat, remembered mentions, open questions, shared answers and links to feedback.

  1. Enter the Objekt-ID (Entra oid) der Person (the person’s object ID). You find it in the Entra admin center under Users.
  2. Click Daten löschen (Delete data) and confirm the deletion. It cannot be undone.

The deletion is recorded in the audit, but only with a hash of the object ID. For about 12 minutes afterwards, the bot stores nothing for the person. To exclude a person permanently, revoke the Use Microsoft 365 permission in companyADMIN.

The Audit area shows every change in the admin area, newest first – with time, action, actor (as a hash), result and details. Recorded are, among other things, set or rotated secrets, provisioning runs, released and blocked agents, changed aliases, “Immer privat”, default agent and brand name, as well as deleted user data.

Each administrator can make up to 60 changes per minute. Beyond that, “Zu viele Änderungen in kurzer Zeit — bitte kurz warten und erneut versuchen.” (Too many changes in a short time – please wait briefly and try again.) appears.

companyM365 accesses Microsoft Graph with delegated permissions. An administrator of your Microsoft Entra tenant has to grant admin consent for this once. The consent applies to the permissions that were requested at the time of consent. If new features add permissions, renewed consent is required.

If a consent is missing, the tools remain visible. Only the affected tool returns graph_consent_missing when called; everything else keeps working.

PermissionWhat forNote

The list_attended_meeting_transcripts tool reads transcripts of all meetings a person attended – not only those they organized. For this, the application additionally needs the application permissions OnlineMeetings.Read.All and OnlineMeetingTranscript.Read.All as well as an Application Access Policy, which is set up via PowerShell in Microsoft Teams. If either is missing, the tool returns app_access_missing. Coordinate the setup with innFactory.
