Tools

Configuration → Tools controls what people see as tiles under All apps: links of your own for your teams and the tiles of the extensions.

A tile is only a link. The target controls access itself; a visible tile grants no rights.

You can create at most 50 custom tiles, for example for the intranet. The Custom tiles table shows Tile, Address, Visible to and Status (Active or Off). Use Search tile or address … to find a tile.

  1. Click Add tile.

  2. Fill in the Tile section:

    FieldMeaning
NameName of the tile, at most 60 characters
    DescriptionOptional, at most 160 characters
AddressAn https:// address or a path on your domain such as /wiki/
IconOne of the offered icons, such as Link, Globe, Book or Document
ActiveWhether the tile is shown; preset for a new tile

The Preview shows how the tile looks.

  3. Under Visibility, decide who sees the tile: Every signed-in user (preset), Specific roles or Specific groups. With roles or groups at least one must be selected, otherwise the tile cannot be saved (Please pick at least one role or group.).

  4. Click Create.

Under In companyTOOLS the page summarizes who sees the tile. Keep in mind:

  • With Specific roles, the role in CompanyGPT counts. Administrators (role ADMIN) only see the tile when ADMIN is selected.
  • With Specific groups, the membership CompanyGPT knows counts: from the group sync or the last sign-in.
  • Custom tiles appear after the extensions’ tiles. Move forward and Move back change their order.

Open an existing tile by clicking its row. Save tile and Save visibility save the sections separately. Delete tile removes it for everyone at once.

Extension tiles lists every extension with a tile. The switch works differently depending on the extension:

  • n8n and AI Gateway – switch Show in companyTOOLS. These applications manage access themselves; the switch only shows or hides the tile, the same for every signed-in person. It is the only setting for them in companyADMIN.
  • Every other extension, such as companyTRANSLATE or companyRAG – switch Active (tile and rights). This is the same switch as under Extensions. It does not just hide the tile but switches off the whole extension.

“All apps” asks for the tiles each time it opens. A view that is already open shows a change only after a reload.

If the page shows a notice that custom tiles and switches do not take effect in your environment yet, contact innFactory.
